About BroadsCOACH
BroadsCOACH is a high-touch, strength-first coaching program built specifically for women who want to become stronger, more capable, more confident, and healthier for the long haul — without the extremes of traditional fitness culture.
We don’t simply deliver workouts.
Our coaches provide individualized strength and mobility programming, accountability, form feedback, education, nutrition support, and real human coaching that fits into our clients’ actual lives.
We believe in strong, not skinny; evidence over misinformation; high intention without extremes; and coaching women as intelligent, capable adults.
Our mission is to help women take up space, build strength, trust themselves, and create a relationship with fitness that lasts.
Position Summary
The Broads Project Manager owns the project management layer that keeps Broads' marketing and client experience running on schedule.
On the marketing side, this is a coordination role, not a strategy or creative one — you keep approved content and campaigns moving, you don’t set the direction. On the client success side, you run the day-to-day: the inbox, activations, escalations, and the recurring projects that keep clients supported. That work exists in service of the coaching delivery team — you’re the layer that makes sure coaches can focus on coaching instead of chasing admin, scheduling, and client logistics.
You live in ClickUp daily. If a task, project, or recurring process is assigned to you or tracked by you, it is your job to know its status before anyone has to ask. You do not wait to be told what’s next: you notice what’s due, what’s stalling, and what needs a follow-up, and you move on it.
Key Responsibilities
Daily Task & Project Management
Every day, you are responsible for:
Clearing email and Slack — anything that needs action gets logged into ClickUp, then triaged by urgency.
Reviewing your full task list and recurring projects, identifying what’s due, at risk, or already behind.
When you hit an SOP gap, using your judgment to build a reasonable solution in the moment — not stalling, and not guessing blind — then flagging it so the SOP gets updated.
Picking up unprompted learning (new tools, new systems) on your own time, without being assigned a deadline.
Marketing Coordination
Taking approved strategy and getting it scheduled and published.
Coordinating with the Designer/Editor so assets land on time.
Managing the Marketing Assistant’s task list.
Keeping campaign tasks moving in ClickUp.
Podcast coordination — guest outreach, scheduling support, asset collection, follow-up communication.
Second set of eyes for typos and broken links before anything goes live.
Any and all additional coordination support the marketing department needs.
Client Success Coordination
Client activation — onboarding set up and assigned within 24 hours of payment.
The info@ inbox — first response, routing, escalation.
Client escalations — resolve what you can, route what you can’t.
Payment issues — failed payments, subscription changes, pause requests.
Supporting the coaching team on client admin.
Weekly GHL contract status check.
Any and all additional coordination support the client success function needs.
Communication & Collaboration
Submit a daily EOD report: hours worked, what you worked on by department, blockers, tomorrow’s priority.
Flag blockers immediately rather than letting them sit.
Bring stuck projects to Bri or the Head of Marketing instead of spinning on them alone.
Communicate proactively, and early, when a deadline is genuinely at risk.
What We’re Looking For
Nothing tracked in ClickUp falls behind without you catching it first.
The goal is not simply to complete your assigned tasks. The goal is ownership — of the projects, systems, and follow-up that keep two departments moving without either one chasing you for status.
Project & Task Management Results
You are responsible for:
Every recurring project assigned to you — the content calendar, podcast workflow, live monthly coaching calls, monthly club programming, and the coaching programming overhaul — stays current: tasks, due dates, follow-ups.
Stalled or overdue items get caught and flagged before they become someone else’s problem.
Your own daily task list moves. You triage, reprioritize, and finish without being managed task-by-task.
When an SOP doesn’t cover a situation, you think it through, make a reasonable call, and keep things moving — then flag the gap so it gets closed for next time.
New tools and systems get picked up on your own initiative, without a deadline forcing it.
Marketing Coordination Results
Approved content moves through ClickUp on schedule — scheduling, publishing, asset handoffs.
Podcast coordination (guest outreach, scheduling, assets, follow-up) happens without anyone chasing it.
Campaign tasks stay visible and on track toward launch.
Typos and broken links get caught before anything goes live.
Client Success Results
The info@ inbox is cleared and triaged daily; nothing sits unanswered.
New clients are activated within 24 hours of payment.
Client escalations are routed quickly, with context, to whoever owns them.
Payment issues — failed payments, pause requests, subscription changes — get resolved or routed the same day.
GHL contract status is checked weekly; nothing drifts unnoticed.
Performance Results
Daily EOD reports are submitted on time, with hours and work logged accurately.
Nothing on a tracked project goes stale without you catching it.
Deadlines you own don’t get missed; deadlines genuinely at risk get flagged early.
When you finish your list, you find the next thing — you don’t wait to be told
Requirements
To succeed in this role, you must be:
Organized
You can run multiple recurring projects in ClickUp at once without anything slipping. Follow-up cannot depend on your memory.
Proactive
You do not wait to be told the obvious next step. You notice drift, catch things before they’re late, and keep moving down your list without supervision.
A Critical Thinker
When an SOP doesn’t cover the exact situation in front of you, you think it through and act — then flag it for an update. You don’t stall, and you don’t guess blind.
Reliable Under Volume
You can manage a full task list — content, podcast, client admin, inbox — at the same time without anything falling through the cracks.
Comfortable Staying in Your Lane
You move other people’s finished work and decisions through a process — you don’t architect the strategy or the systems. If you see a better way to do something, you flag it; you don’t just build the better version yourself.
Tool-Fluent
You are comfortable living in ClickUp and GoHighLevel daily, and you pick up new tools quickly without hand-holding.
Comp & Schedule
Status: Part-Time Contractor
Compensation: $20–$25/hr
